Fraudulent Charges

  • Contact the P-Card Administrator to report the dates and amounts of the charges. The P-Card Administrator will contact the bank to dispute the charges.
  •  The cardholder should allocate the charges to their normal org and account 6320.

  • In the Narrative Details section, note that the charges are being disputed with the bank and will be credited at a later date.

  • If paperwork form the bank noting the dispute is available, attach it as a receipt for the transaction. If not, attach a Missing Receipt Form to the transaction, again noting the situation. (The form should be signed by the cardholder but does not have to be signed by a supervisor.)

  • The P-Card Administrator will inform the cardholder when the bank has made its determination regarding the disputed charges.

  • When the credit is received, allocate it to the same org and account to which the fraudulent charge was allocated.

  • If paperwork form the bank noting the credit is available, attach it as a receipt for the transaction. If not, attach a Missing Receipt Form to the transaction, again noting the situation. (The form should be signed by the cardholder but does not have to be signed by a supervisor.)
