Assistant to the Conference & Event Coordinator (2 positions available - one day shift from 7:30 AM-2:30 PM and one evening shift from 2:30 PM-11:00 PM)
HOURS:
40 hours weekly (scheduled for 5 out of 7 work days); 8-10 hours per day
WAGES:
$7.15 + room and board

REQUIREMENTS:
Valid driver's license
Requires one summer of Conference Services Guest Relations work experience
Weekend work, although it's the same shift all summer
PRIMARY DUTIES AS RELATED TO CONFERENCES:
Responsible for assisting the Conference & Events Coordinator with the overall summer conference program.
Oversee the Conference Services Information Desk in the Eisenhower Campus Center.
Work with conference planners as assigned by the Conference & Events Coordinator.
Act as the representative for Conference Services in the absence of the Conference & Events Coordinator.
Communicate problems of concern among staff and conference planners to the Conference & Events Coordinator daily.
Organize the Event Description book daily.
Develop and maintain the AM and PM checklists daily.
Answer conference related phone calls and respond to all guest related questions or concerns with the utmost professionalism. Serve as a resource person.
Take care of last minute changes and deal with minor conflicts as they arise.
Check-in with conference planners in their assigned areas by conducting periodic rounds throughout campus; develop relationships and become a resource.
Monitor and maintain key control activities and report status to the Conference & Events Coordinator weekly.
Assist Conference Services Office with floor plan distribution; secure floor plans from the Conference Services Office; develop a tracking system to monitor the arrival of floor plans for each conference.
Work closely with the Conference & Events Coordinators and Administrative Assistant concerning all conferences; serve as a liaison between the Conference & Events Coordinators and conference planners as well as the Conference Services office staff.
SECONDARY DUTIES:
Assist the Conference Services Tech Crew, Guest Relations, Laundry Services, and Campus Events staff as needed.
