PRIMARY DUTIES AS RELATED TO CONFERENCES:
Responsible for coverage of the Conference Services Information Desk in the Eisenhower Campus Center:
2 days off per week with 1 weekend off per month
Office hours: Sunday-Saturday 7:30 AM - 11:00 PM
Shifts are assigned in 8-10 hour intervals.
Generally consists of 7:30 - 4:00 or 2:30 - 11:00 shifts, but may vary depending on conference schedule. Work with assigned conference planners as designated. Organize the Event Description book and maintain the AM and PM checklists daily. Answer the telephone and respond to all guest related questions. Serve as a resource person. Take care of last minute changes and deal with minor conflicts as they arise. Conduct periodic rounds throughout campus to check on conferences in whichever buildings they are assigned. Coordinate distribution of meal tickets for conferences.
Work closely with the Conference & Events Coordinators and Room Reservationist concerning all conferences.
PRIMARY DUTIES AS RELATED TO KEYS
Responsible for issuing keys to conferences seven days a week:
Primary work days are Thursday-Monday with coverage from 7:30 AM - 11:00 PM
Shifts are assigned in 8-10 hour intervals. Hand keys out at registration. Check keys back in from the Guest Relations Desk or Dorm. Work with assigned conferences as defined by the event description during registration and check out times. Maintain the key storage cabinet, regulate, and enforce the use of keys. Abide by key control policy. Inventory and verify keys before and after each conference. Understand the coding system from Key Services and fill out key record cards.
Responsible for issuing, obtaining, and maintaining housing floor plans (and/or list of conference participants). Secure floor plans from the conference contact and distribute to designated people on campus.
SECONDARY DUTIES:
Assist the Conference Services Tech Crew, Laundry Services, and Campus Events staff as needed. Set up sound and other materials or equipment.
Monitor athletic facilities.
