Outlook: Mobile Device Setup - iPhone/iPad/iPod

 

Before You Begin

For best results, please update iPhone, iPod touch, and iPad to the latest iOS version. If you have an older device that does not have iOS5.x, you will need to install the latest iOS (instructions can be found here). Please be aware that updating the operating system can take 45 minutes or more, depending on the amount of data on your device, to complete.

 

Configure Outlook on iPhone, iPad or iPod

To set up iPhone, iPod touch, or iPad for Outlook, do the following:


  1. On your device, go to Settings > Mail, Contacts, Calendars > Add Account... > Microsoft Exchange.

    Complete the fields, exactly as follows:
    Email: your Messiah email address
    Username: your Messiah email address (yes, your full email address in LOWER case)
    Password: your Messiah email password

  2. Complete the Description field to your choosing in a way that easily identifies the account for you (eg "Messiah Email", "Work Email", etc.).

  3. Verify that you have no errors in the information you have provided and Press Next.

  4. If you receive one of the following warning messages:
    • "Cannot Verify Server Identity," press Continue.
    • "Unable to Verify Certificate," press Accept.

  5. Your device will now attempt to connect your account.

    If you encounter a problem it is likely related to a mistyped character(s) in the information you provided up to this point. To be safe, at this point, we recommend canceling the process and starting over again.


  6. Press Next.

  7. You will now be given the option of choosing which information you would like to synchronize between your device and your Outlook account. You have three options: Mail, Contacts, Calendar

    • Mail - Select Mail to synchronize your Outlook email.
      • Allows you to send and receive Outlook email.
      • Allows you to send and receive Outlook meeting invitations.
      • Recommended for all Outlook users.


    • Contacts - Select Contacts to synchronize your Outlook contact list.
      • Allows you to access your contacts in Outlook.
      • New contacts you create on iPhone, iPod touch, and iPad are synced with Outlook and are then available in Outlook and Outlook Web App (OWA).
      • Recommended for some Outlook users. If you maintain an up-to-date list of contacts in Outlook or OWA and you want access to those contacts on your iPhone, iPod touch, or iPad, then you might want to sync contacts.
      • Important: When you set up Outlook on iPhone, iPod touch, or iPad, you may be asked if you would like to Keep or Delete the local contacts on your device. Unless you want the contacts on your device to be deleted and replaced with your contacts in Outlook, choose Keep.

    • Calendars - Select Calendars to synchronize your Outlook calendar.
      • Allows you to access your Outlook calendar.
      • Allows you to create appointments on your Outlook calendar.
      • Allows you to create and receive meeting invitations on your Outlook calendar.
      • Recommended for all Outlook users.
      • Important: When you set up Outlook on your iPhone, iPod touch, or iPad, you may be asked if you would like to Keep or Delete the local calendar on your device. Unless you want the calendar events on your device to be deleted and replaced with your Outlook calendar, choose Keep.




  8. If you turn on Contacts or Calendars, then you will get a message that asks whether you would like to keep or delete the local data on your device.

    • Press Keep to keep the existing contacts or calendar events on your device. Your contacts or calendar events from Outlook will be added to your device.

    • Press Delete to permanently delete the contacts or calendar events on your device and replace them with the contacts or calendar events in Outlook.

  10. If you turned on Contacts, then you will get a message that warns you about duplicate entries.

    • Press Keep to continue. Contacts with identical names will be merged into a unified view. For example, if you have a local contact named "Reggie Redbird" on your device and a contact named "Reggie Redbird" in Outlook, the information from both contacts will be merged into a unified view. If you do not want these two contact entries to be merged into a unified view, you can unlink them so that they appear as separate entries in Contacts on your device.

    • Press Cancel to back out without making any changes.
  11. If you turned on Reminders, then you will get a message that warns you about duplicate entries.
  12. Press Save


  13. Your Outlook calendar and email will likely, at some point, contain sensitive or personal data, therefore, you should set a passcode lock on your device.

    To set a passcode lock for iPhone, iPod touch, and iPad do the following:

    1. Press Settings > General > Passcode Lock.

    2. Enter a 4-digit code that will serve as your passcode.

    3. Enter your passcode again.


    Your device now requires your passcode to unlock it. You must enter your passcode when you turn on the device or press the Wake button.

    On iPhone, you do not have to enter your passcode to answer calls or make emergency calls. You must enter your passcode to make normal calls.

    Advanced Options

    By default, if you have a passcode set for iPhone, iPod touch, and iPad, you must enter it immediately after turning on the device or pressing the Wake button.

    You can change the length of time your device is idle before your passcode is required. For example, you can set the device to only require a passcode after it has been idle for more than five minutes.

    To change the length of time before your passcode is required, do the following:

    1. Press Settings > General > Passcode Lock > Require Passcode.

    2. Select a length of time. Shorter times are more secure.



  14. Your Outlook account is now configured on your device.


Advanced Options

If iPhone, iPod touch, or iPad is configured to synchronize Mail, it will retrieve email messages that are three days old (or newer). If configured to synchronize Calendars, it will retrieve calendar events that are one month old (or newer). If you wish to change these default settings, click on the options below for addition instructions.

 

To adjust EMAIL synchronization settings.

 

  1. Press the Home button.
  2. Press Settings > Mail, Contacts, Calendars.
  3. Under Accounts, select your Messiah Outlook account.
  4. Press Mail days to sync.
  5. Select how far back you would like to synchronize email messages. (Note: To retrieve all email in your Outlook mailbox, select No Limit.)

 

 

To adjust CALENDAR synchronization settings

 

  1. Press the Home button.
  2. Press Settings > Mail, Contacts, Calendars.
  3. Under Calendar, press Sync.
  4. Select how far back you would like to synchronize calendar events. To retrieve all calendar events on your Outlook calendar, select All Events.

 


Changing your iOS mail password

Messiah College requires that users change their network password once every 6 months. Please be aware that changing your password via our online password change page DOES NOT change the password on your device. You will need to manually change your password on your iOS device(s) every time you change your network password. Follow these steps to do so...

  1. Click on the "Settings" icon on your device.`

  2. Click on the "Mail, Contacts, Calendars" item.

  3. Under "Exchange" click on the Account field.

  4. Locate the Password field and enter your new password.

  5. When finished, click on "Done" in the upper right corner of the screen.

  6. Press the Home button on your device to return to the Home screen.
