Common Features
Below are explanations for the most common telephone features for use with your phone. Additional telephone feature access codes are listed below for features that may be available using the “#” button or the “*” button. CALLBACK -CBK The “Callback” feature helps you to complete calls to extensions that are busy or do not answer. It lets you hang up and have the phone system call you back with triple rings under the following conditions: -when a busy extension becomes free. -when a ringing extension is used again and then becomes free When you answer the callback, the phone system automatically dials the number for you. When you are queued for a “Callback”, the status light beside your CALLBACK (CBK) key will be on.
CONFERENCE The “conference” feature lets you have up to eight parties, including yourself, in a telephone conversation. The other parties besides yourself can be on outside lines or extensions. To set up a conference, • During a call, press the Transfer (TRANSFER) key to put the party on consultation hold. • Listen for the conference tone, followed by the internal dial tone. • Dial the extension you want to add, or dial 9 and the outside number. • After the party answers, press the Conference(CONF) key (or TRANSFER) to join all the parties. To reconnect to the conference when a called party isn’t joining, Press the Connect key. To drop the last added party, • Press the Clear key, or press TRANSFER and dial * * * 4. • Press the Conference (CONF) key (or TRANSFER) to rejoin the conference. CONNECT Connect lets you: • Reconnect with a call placed on consultation hold • Reconnect with a transferred call before the transfer is complete • Alternated between two parties, when you have one of them on consultation hold To reconnect with a call, press the Connect key. FORWARD “Forward” allows you to forward your extension to another phone for someone else to answer or where you be going to. To forward, get dial tone, press #91 and the extension number you are forwarding to. Hang up. Callers will now be answered at the forwarded location. When you want to cancel forwarding of your prime line, you simply press FWD. To cancel forwarding on any other extension on your phone, you use the cancel code ##91. HOLD Allows you to place a call the receiver on hook to attend to another matter without disconnecting a caller. When you leave a call on “hold” and it times out to ring your phone, if you cannot answer it, all external calls will forward to the attendant but internal calls will ring on your phone until the caller hangs up. If you have multiple extensions on your phone you can place a caller on “hold” and answer another extension by depressing the button next to the second ringing extension. LAST NUMBER REDIAL You can redial the last number dialed from your telephone by pressing “LNR”. This only applies to numbers dialed with a trunk access code, i.e. “9" for outgoing calls. PARK Park lets you move a call to an extension and hold it there without ringing that extension. You or another party can then retrieve the call from the extension as needed. To park a call to another extension, • Press the Transfer (TRANSFER) key. • Dial * 6. • Dial the extension where you want to park the call. • Hang up. To retrieve a parked call, • Get a dial tone. • Dial * 6. • Dial the extension where the call is parked. • Begin speaking. PHONEMAIL (for detailed instructions, click here) PhoneMail is an enhanced communications tool that works with your telephone line to allow subscribers to communicate using any touchtone telephone in the world. PhoneMail allows a non-simultaneous exchange of voice messages by utilizing our state-of-the-art PhoneMail computer system and any telephone. It usually performs two separate but related functions: automatically answering incoming calls and directing them to a desired extension or taking a message if an extension is busy or unanswered. To access PhoneMail from a campus phone dial 6020 or press the “PhoneMail” button to access the PhoneMail menu. While you are off-campus you need to dial either 691-6020 or 717-691-6010 depending on where you are calling from. You will be prompted to hit # or enter your extension and then a password. Once into your “mailbox” you are prompted to push one of several keys for the function you desire such as you may listen, record, add greetings, delete, etc. your messages. This feature is menu driven with many capabilities. The numbers commonly used to navigate are:
REP DIALS • To set up a REP DIAL key, you must use the PROGRAM key. • Press Program • Press the Rep Dial key that you want to use • Enter the dialing sequence that you want to assign to the key • Press the Program key to exit. Note: To program delays into a Rep Dial key, press the HOLD button for a 3-second delay. If you want to program a Rep Dial with a feature code, you may need to include a flash (Transfer key). SAVE NUMBER REDIAL One number can be saved per telephone. This can be an extension or an external number. The number can be saved during connection, busy tone, ringing, or after answer simply by pressing SNR (SAV/RDL). Once saved you may press the button and the phone system will dial the number for you. That number will be saved until you save another number. TRANSFER To transfer a call “Press Transfer”. You will hear confirmation tone. Dial the extension. Announce the Call and Hang up. If you encounter a busy or ring no answer, press Connect to return to the caller. MISC. FEATURES ACCESS CODES: To use feature access codes: Get a dial tone, Dial the feature access code.
