Using Direct A
ccess
  1. Dial the PhoneMail extension number (ext. 6020) or if you are calling from off campus, dial the direct access number (691-6020).
  2. Dial your extension number and press . If you are calling from your own phone, you do not need to dial your extension number.
  3. Dial your password and press .
Using Callback Access
  1. From your own phone, you can also use the Callback, Repeat or Speed Dial buttons when properly programmed.
  2. Dial your password followed by the .

Listening to Your Message

Listening to messages
  • Access your PhoneMail mailbox.
  • Press to listen.
Changing the volume
While listening to a message, press:
  • to increase the volume.
  • to decrease the volume.
Changing the speed
While listening to a message, press:
  • to decrease the speed
  • to increase the speed
Stopping a message header
While listening to a message header, press:
  • to skip to the next message header.
  • to skip to the message header and listen to the message.
  • to skip to the previous message header.
  • to skip to the next message header.
Stopping a message
While listening to a message, press:
  • to skip forward to the next message header.
  • to skip back to the previous message header.
  • to replay the entire message.
  • to replay the last few words.
  • to move ahead a few words.
  • to skip to the end of the current message.
  • to replay the time the message was created.
Saving, deleting and replaying messages
After you listen to a message, press:
  • to delete the message.
  • to save the message.
  • to replay the message.
Answering and forwarding messages
After you delete or save a message, press:
  • to record and send an answer to the message sender.
  • to call the message sender.
  • to forward the message to another extension.
  • to continue to the next message.
Recording Messages

Sending a message
To Send a recorded message to someone, follow these steps:
  1. Access your mailbox, then press to record.
  2. When prompted, record your message. Press when done.
  3. Dial the extension of the person the message is for and then press .
  4. Press when finished entering all of the destinations of the message.
  5. Press again for regular delivery or for secial delivery options (follow the prompts).
Leaving a message when PhoneMail answers your call
  1. When PhoneMail answer an extension you are calling, wait for the tone, then leave your message. You can press to skip the greeting of the person you called and go directly to the tone.
  2. When you finish leaving your message, you can
    • hang up.
    • press to mark your message urgent.
    • or press to exit the PhoneMail system.
Stopping a message as you record
To stop a message while you are recording, press:
  • to pause and then 1 to continue recording when ready.
  • to delete and rerecord the message.
  • to cancel delivery.
  • to replay what you just recorded.
  • to replay the last few words of what you just recorded.

Changing PhoneMail Options

Recording or changing your personal greeting
To record or change your personal greeting, follow these steps:
  1. Access your mailbox, then press for answering options.
  2. Press for personal greeting.
  3. Press again and record your greeting.
  4. While you are recording your greeting, you can:
    • Press to replay the greeting you just recorded, or to delete and rerecord the greeting.
  5. Press when you complete the recording.
Some systems allow more than one greeting. Listen to the prompts to see what options you have. For example, you can set both a regular greeting and an alternate greeting.

Setting abbreviated prompts
When you are more familiar with PhoneMail, you can use abbreviated prompts. Follow these steps:
  1. Access your mailbox, then press for mailbox options.
  2. Press for prompt level.
  3. Press for abbreviated prompt level.
Changing your password
To change your password, follow these steps:
  1. Access your mailbox, then press for mailbox options.
  2. Press to change your password.
  3. Enter your new password, then press . The PhoneMail system verifies your new password.
Recording your name
To record your name for use within PhoneMail, follow these steps:
  1. Access your mailbox, then press for answering options.
  2. Press for recorded name.
  3. Press and record your name.
  4. Press when you complete the recording.
