Ordering letterhead/envelopes for fiscal year 2013

 

 

Due to the pending Messiah College mailing address change from Grantham, PA to Mechanicsburg, PA, all departments and offices on campus will need to order stationery with the new address. In order to properly account for printing costs directly related to the mailing address change, College Press and its clients need to distinguish between orders that replace an existing stash of Grantham‐addressed stationery and stationery orders that are necessary, regardless of the address change, to be adequately prepared for FY 2013 mailings.


All employees who utilize Messiah College generic or Messiah College department specific letterhead and envelopes must begin using these items with the new Mechanicsburg address Monday, July 9, 2012.


It is OK to use Grantham‐addressed stationery until July 9, 2012.


Timeline for ordering stationary

Orders can be placed at any time throughout the year at College Press. However, in keeping with the tradition of offering an annual bulk, discounted rate for envelopes, and in light of the pending address change, College Press will be processing the envelope bulk order a little earlier this year and they will be including letterhead as part of the process. Orders for envelopes and letterhead with the Mechanicsburg address will be accepted beginning Thursday, March 1, 2012. A discounted bulk rate will be offered at that time. Employees should only order replacement stationery in the event they will not be able to utilize their existing inventory by July 9th, 2012. The bulk rate will be available for all orders received between March 1, 2012 and March 16, 2012. March 16 will be the last day orders are accepted for the bulk rate. Orders will then be processed with some finished items being delivered in June (replacement items) and the balance being delivered in July.


Billing for replacement stationary
Replacement orders (only replacement orders) received during the bulk‐rate period will be billed to individual departments using that department’s organization number, the printing account number (6313) and a temporary activity code which has been set up for printing charges related to the address change.


The activity code is CHANGE.
Example: 3075‐6313‐CHANGE


Customers must turn in (i.e. “replace”) their supply of unused Grantham addressed stationery to College Press in exchange for the new items at the time of delivery.

 

Billing for other stationary orders

New stationary orders (orders needed in fiscal year 2013) received during the bulk‐rate period will be billed to individual departments using that department’s organization number and the printing account number (6313).


The temporary activity code which has been set up for printing charges related to the address change will not be utilized for these orders. The activity code is for replacement orders only.


How to order replacement stationary
Forms for ordering letterhead and envelopes with the new Mechanicsburg mailing address will be available on MC Square on Wednesday, February 29. The order form will allow for multiple, similar orders being billed to the same organization number to be placed using just one form. The form can be saved as a PDF and emailed to College Press or printed out and submitted via Campus Mail. Additionally, College Press representatives will be available to assist with placing orders on Thursday, March 1, 2012 in Boyer 102 from 10 a.m. until 12 p.m. Replacement orders to be delivered in June and any new orders to be delivered in July can and should be placed simultaneously.
