Assistant to the Conference and Event Coordinator

POSITION:

Assistant to the Conference & Event Coordinator (2 positions available - one day shift from 7:30 AM-2:30 PM and one evening shift from 2:30 PM-11:00 PM)

HOURS:

40 hours weekly (scheduled for 5 out of 7 work days); 8 hours per day

WAGES:

$7.25 + room and board compensation

PRIMARY DRESS:

Khaki or denim shorts, and college issued MC polo shirts

SECONDARY DRESS: (when appropriate or required by supervisor)

  • Men: Tie, dress shirt, and dress pants
  • Women: Dress or skirt and nice blouse

REQUIREMENTS:

  • Must reside on campus; may not choose to live off campus.
  • Valid driver's license
  • One summer of Conference Services Guest Relations work experience preferred.
  • Weekend work
  • Same shift all summer
  • Restricted no vacation days, unless approved by the Conference and Events Coordinator, are as follows:  Second week of May, last week of June and first week of July.

PRIMARY DUTIES AS RELATED TO CONFERENCES:           

  • Responsible for assisting the Conference & Events Coordinator with the overall summer conference program.
  • Serve as a resource person and oversee the Guest Relations Desk in Eisenhower Campus Center.
  • Work with conference planners as assigned by the Conference & Events Coordinator.
  • Act as the representative for Conference Services in the absence of the Conference & Events Coordinator.
  • Communicate daily problems of concern arising from staff and conference planners to the Conference & Events Coordinator.
  • Organize the Event Description book daily.
  • Develop and maintain the AM and PM checklists daily.
  • Answer conference related phone calls and respond to all guest related questions or concerns with the utmost professionalism.
  • Serve as a role model.
  • Take care of last minute changes and deal with minor conflicts as they arise.
  • Check-in with conference planners in their assigned areas by conducting periodic rounds on campus; develop relationships.
  • Monitor and maintain key control activities, lost keys and report status to the Conference & Events Coordinator weekly.
  • Develop a tracking system to monitor the arrival of floor plans for each conference.
  • Work closely with the Conference & Events Coordinators concerning all conferences; serve as a liaison between the Conference & Events Coordinators and conference planners as well as the Conference Services office staff.
  • Merge and print all key sheets, deriving all information from the housing spreadsheets, related to each conference.

SECONDARY DUTIES:           

  • Assist the Conference Services Tech Crew, Guest Relations, Laundry Services, and Campus Events staff as needed.
  • Assist the Sound & Lighting Technical Coordinator, Sound & Lighting Technician, and Tech Crew as required.
  • Various duties as assigned.

NOTE: Employee selection is based on an application and interview process.  Sick time and other absences due to mission work, etc. over and above the required 10 days will be charged to your tuition account for room and board.
